The Executive Assistant to the President at Olympic College is a key administrative support role within the Office of the President.
This position plays a crucial role in providing high-level administrative assistance to the President, ensuring smooth operations of the President's office, and facilitating effective communication with the Board of Trustees.
Essential Functions Key Responsibilities Administrative Support Provide comprehensive administrative support to the President, including managing calendars, scheduling appointments, and handling correspondence.
Coordinate logistical arrangements for meetings, events, and travel on behalf of the President.
Manage and reconcile the budget under the supervision of the Chief of Staff.
Board of Trustees Support Assist in managing Board of Trustees meetings, including preparing agendas, coordinating materials, and taking minutes.
Arrange travel logistics for Board of Trustees members and provide administrative support as needed.
Communication and Coordination Serve as a point of contact between the President and internal/external stakeholders, conveying information and responding to inquiries.
Coordinate communication between the President and other college departments.
Document Management Maintain and organize official documents, records, and files for the President.
Prepare and distribute materials for meetings, ensuring accuracy and completeness.
Event Coordination Assist in planning and coordinating events hosted or attended by the President.
Ensure all arrangements are well-organized, from venue logistics to attendee coordination.
Confidentiality and Discretion Handle sensitive information with the utmost confidentiality and discretion.
Maintain a high level of professionalism in all interactions and communications.
Qualifications Minimum Qualifications - Bachelor's degree in business administration, communication, or a related field is preferred.
- Proven experience in providing high-level administrative support, preferably in an executive environment.
- Exceptional organizational and multitasking skills.
- Strong written and verbal communication skills.
- Proficient in office software and technology.
Preferred Qualifications - Experience in project management.
- Experience in representing senior-level executives.
- This position requires a high degree of confidentiality.
Additional Information Terms of Employment This is a full-time exempt position scheduled to work Monday through Friday.
The salary for this position is $67,725 - $73,752 annually, which includes a generous benefits package that includes the following.
